Privacy notice for website users

This notice applies to TTP Group and all subsidiaries (collectively referred to as “TTP”, “we”, “our”), other than subsidiaries which have their own privacy notice.

This privacy notice explains how we may collect and use information that we obtain about you, and your rights in relation to that information.

Data protection principles

We will:

  • Use your personal information lawfully, fairly and in a transparent way.
  • Collect personal information only for valid purposes that we have clearly explained to you, and not use your personal information in any way that is incompatible with those purposes.
  • Only hold personal information which is relevant to the purposes we have told you about and limited only to those purposes.
  • Ensure personal information is accurate and kept up to date.
  • Keep your personal information only as long as necessary for the purposes we have told you about.
  • Keep your personal information securely.

Your personal information

Information we collect from you

We collect and process some or all of the following types of information from you:

  • Identity Data including name, title, date of birth.
  • Contact Data including postal address, email address and telephone numbers.
  • Technical Data including internet protocol (IP) address, browser type and version, time zone setting and location, browser plug-in types and versions, operating system and platform, device ID and information about how you interact with and use our website.
  • Marketing and Communications Data including your preferences in receiving marketing from us and our third parties, your industry, your field of expertise.

We also collect, use and share aggregated data such as statistical or demographic data which is not personal data as it does not reveal your identity. For example, we may aggregate individuals’ usage data to calculate the percentage of users accessing a specific website feature in order to improve the website.

In certain limited circumstances, our collection of data set out above may include the collection of Special Categories of Personal Data (this includes details about your race or ethnicity, religious or philosophical beliefs, sex life, sexual orientation, political opinions, trade union membership, information about your health, and genetic and biometric data). Such information will only be collected if it is necessary, and with your permission.

How we collect personal information

We use the following methods to collect data from and about you:

  • You make a request for our services.
  • You subscribe to our publications or request other marketing material.
  • Networking (for example, at in-person or virtual events).
  • You interact with our social media pages.
  • Through third parties or publicly available source, such as Identity and Contact Data from publicly available sources.
  • Through automated technologies or interactions. As you interact with our website, we will automatically collect Technical Data about your equipment, browsing actions and patterns. We collect this personal data by using cookies and other similar technologies. We may also receive Technical Data about you if you visit other websites employing our cookies.

Use of your data and legal basis for processing

TTP performs the processing of website user and prospect personal data for the following reasons:

  • To pursue our legitimate interests in processing personal data, as long as your interests and fundamental rights do not override those interests.
  • Your consent: We rely on consent only where we have obtained your active agreement to use your personal data for a specified purpose.

Situations in which we will process your personal data are listed below.

  • To manage our relationship with you;
  • To monitor and analyse our business;
  • To administer and protect our business and our website;
  • To deliver relevant content to you and measure or understand the effectiveness of the marketing we provide to you;
  • To make suggestions and recommendations to you about services that may be of interest to you.

How we process and store your personal data

Security

We take appropriate measures to ensure that all personal data is kept secure. We limit access to your personal data to those who have a genuine business need to view it. Those processing your information will do so only in an authorised manner and are subject to a duty of confidentiality. We ensure that any technology which we use to process data, including automated processing and AI tools, always maintains the confidentiality and integrity of your personal data.

We also have procedures in place to deal with any suspected data security breach. We will notify you and any applicable regulator of a suspected data security breach where we are legally required to do so.

Where we store your personal data

Where we store your personal data in our own systems, it is stored safely. Only authorised TTP staff have access to this data and it resides on secure, access-controlled areas of our company network.

Why might you share my personal information with third parties?

We will share your personal information with third parties where required by law, where it is necessary to carry out our services for you or where we have another legitimate interest in doing so. For example, your personal data may be saved on Microsoft Office 365 provided by Microsoft Corporation.

All our third-party service providers are required to take appropriate security measures to maintains the confidentiality and integrity of your personal data. We do not allow our third-party service providers to use your personal data for their own purposes. We only permit them to process your personal data for the specified purposes as set out above.

The data that we collect from you and process may be transferred to, and stored at, a destination outside the European Economic Area (“EEA”). It may also be processed by staff operating outside the EEA who work for us or for one of our suppliers. By submitting your personal data, you agree to this transfer, storing or processing. Data is transferred outside the UK only with relevant safeguards such as a data processor agreement or declaration of adequacy.

Retention of your personal data

We will only retain your personal information for as long as necessary to fulfil the purposes for which we collected it.

To determine the appropriate retention period for personal data, we consider:

  • The amount, nature and sensitivity of the personal data.
  • The potential risk of harm from unauthorised use or disclosure of your personal data.
  • The purposes for which we process your personal data and whether we can achieve those purposes through other means.

In some circumstances, we may anonymise your personal information so that it can no longer be associated with you, in which case we may use that information without further notice to you.

Your rights

Under certain circumstances, by law you have the right to:

  • Request access to your personal information (commonly known as a data subject access request).
  • Request correction of the personal information that we hold about you.
  • Request erasure of your personal information. This enables you to ask us to delete or remove personal information where there is no good reason for us continuing to process it.
  • Object to processing of your personal information where we are relying on a legitimate interest (or those of a third party) and there is something about your particular situation which makes you want to object to processing on this ground. You also have the right to object where we are processing your personal information for direct marketing purposes.
  • Request the restriction of processing of your personal information. This enables you to ask us to suspend the processing of personal information about you, for example if you want us to establish its accuracy or the reason for processing it.
  • Request the transfer of your personal information to another party.

If you believe that we have not complied with your data protection rights, you can complain to the Information Commissioner.
